Platform overview
Understand how Cartoply connects field reps with the right prospects — automatically.
What is Cartoply?
Cartoply is a location-aware scheduling platform built for field sales teams. Instead of sending every booking to the same calendar, Cartoply looks at where a prospect is located and routes the meeting to the rep who covers that territory.
At its core, Cartoply gives you three things:
- Scheduling — booking pages for individual reps and organizations, with configurable availability and event types.
- Territory routing — geographic rules that automatically send a prospect to the right rep based on their ZIP code, county, city, state, country, a custom area you draw on the map, or distance from a point.
- Team management — organizations where admins manage reps, territories, and org-level event types from a single dashboard.
How a territory-routed booking works
Territory routing is something you switch on per event type (Match reps by territory, available on org event types that collect the guest's address). With it on:
- A prospect visits your organization's booking page and selects a meeting type.
- They enter their address, chosen from autocomplete suggestions.
- Cartoply finds every rep whose territories cover that address.
- They pick a time — either from a “Choose a rep and time” picker showing each matching rep's availability, or, on an instant-booking event type, from one merged list of next available times with the rep assigned automatically.
- If payment is required, the card is authorized before the slot is secured and charged once it is.
If no territory match is found, the prospect sees a message that no rep is available in their area — preventing misrouted meetings entirely.
Without territory matching, an org event type either lets the guest choose a rep or assigns one by round-robin, and no address is collected up front.
Setting up your account
The first time you sign in, Cartoply walks you through a setup wizard. You can't skip past it into the dashboard, and it covers:
- Availability — the days and hours you're open for bookings. See guide →
- Organization — create an org for your team. See guide →
- Invite members — add your reps.
- Territory — draw the areas your team covers. See guide →
- Integrations — connect Google Calendar or Outlook. See guide →
If you joined by invitation rather than signing up yourself, the wizard is shorter — just Availability and Integrations. Your org admin handles the rest.
Once the wizard is done, finish setup from the dashboard:
- Create event types — the meeting types prospects can book. See guide →
- Share your booking link — send prospects to your org booking page. See guide →
- Subscribe — accounts start on a 14-day free trial. Subscriptions are per organization, billed per seat, monthly or annually. Subscribe from the Billing page. See guide →
Personal vs. organization
Cartoply has two booking contexts:
- Personal — every user gets a booking page at
cartoply.com/[username]. This is great for solo users or reps sharing their individual link. - Organization — org admins create a shared booking page for the whole team. Prospects book through the org link, and Cartoply routes them to the right rep based on territory.
Most teams use the org booking link for inbound prospects and personal links for direct outreach. Note that subscriptions attach to an organization, so you'll need one even if you only ever share your personal link.
The two contexts map to workspaces in the app. The workspace switcher at the top of the sidebar moves between each organization you administer and your Personal workspace. Org admins land in their org workspace when they sign in; the personal workspace holds your own event types, availability, bookings, and calendar connections.
On a wide screen you can narrow the sidebar to a strip of icons with the toggle beside the Cartoply logo — useful on the map-heavy pages. Everything stays clickable, and hovering an icon names it. Cartoply remembers the setting per browser. On phones the sidebar is replaced by a bottom bar with a More button.
Referral program
Earn $10 in account credit for every person you refer who starts a paid subscription. Your unique referral link is on the Billing page — share it via email, social media, or anywhere else. Credits are applied automatically to your next invoice once a referred user subscribes.
