Billing & referrals

Manage your subscription and earn account credit for every friend who subscribes.

Free trial

Every new Cartoply account starts with a 14-day free trial. During the trial, all core features are fully available — no credit card required. You can see the number of days remaining in your trial from the dashboard.

When the trial ends, a subscription is required to continue using org features and receiving routed bookings.

Subscription & pricing

Cartoply is billed per seat, on a monthly or annual cycle. A seat is counted for each member of your organization — the pricing is the same regardless of role (admin or member).

Annual billing saves 20% versus paying monthly for a year. Pick Monthly or Annual when you subscribe — the choice is made at checkout. You can view the current per-seat rate and your total on the Billing page in the dashboard. The rate is the same for all organizations.

Starting a subscription

  1. Go to Billing in the dashboard sidebar.
  2. Find the organization you want to subscribe.
  3. Choose Monthly or Annual billing (annual saves 20%), then click Subscribe.
  4. Complete checkout with a credit or debit card. You'll be redirected back once the subscription is active.

If you're still in your trial, a Subscribe early button appears instead — clicking it lets you start a paid plan before the trial ends.

Managing your subscription

Once subscribed, click Manage subscription → on the Billing page. This opens the Stripe customer portal where you can:

  • Update your payment method.
  • View upcoming invoices.
  • Cancel your subscription.

Seat count is updated automatically as you add or remove members from your organization. Cartoply invoices the change straight away, prorated — rather than waiting for renewal, which on an annual plan could be nearly a year off.

Reading the status badges

Each organization card on the Billing page shows two independent statuses: one labeled App plan at the top of the card for your core Cartoply subscription, and one next to Dispatch add-on below it. They're separate subscriptions, so one can be Active while the other is Inactive — for example, an org that only uses Dispatch shows an inactive App plan and an active Dispatch add-on. Statuses reflect the live state of your Stripe subscription each time the page loads.

The Dispatch add-on

Dispatch is billed separately from your Cartoply subscription, at its own per-tech-seat rate — check the Billing page or the pricing page for the current number. Annual billing saves 20% here too.

Unlike your core subscription, Dispatch seats are a number you choose, not a headcount: you buy a set of tech licenses and assign members to them. Change the seat count at any time and the adjustment is prorated. Dispatch also comes with its own 14-day trial, separate from your account trial.

Once subscribed, the Dispatch add-on shows its own Active badge on the organization card and a Manage in portal → button. Both subscriptions are managed through the same Stripe customer portal — you'll see them listed there side by side.

Invoice history

All past invoices appear at the bottom of the Billing page. Each row shows the invoice date, period, amount, and status. You can download a PDF or open the Stripe-hosted invoice for any entry.

Referral program

Earn $10 in account credit for every person you refer who starts a paid subscription. Credits are applied automatically to your next invoice — there's nothing to redeem manually.

Finding your referral link

  1. Go to Billing in the dashboard sidebar.
  2. Find the Refer & Earn card.
  3. Click Copy to copy your unique link to the clipboard.

Share the link anywhere — email, social media, direct message, or a blog post. When someone signs up using your link and later starts a paid subscription, you automatically receive the credit.

Tracking referrals

The Refer & Earn card shows three stats:

  • Signups — total number of people who created a Cartoply account using your link.
  • Converted — how many of those signups have started a paid subscription.
  • Earned — total credit you've accumulated across all conversions.

Credits are only awarded on conversion to a paid plan — signups alone do not earn credit.
