Scheduling software features built for field service teams
Cartoply is scheduling software purpose-built for home service companies with multiple techs in the field. Every scheduling feature below is included on every plan, with our Dispatch & route optimization suite available as an optional add-on for field-service teams.
Google Calendar sync
Cartoply syncs with Google Calendar in real time, so every technician's schedule is always accurate. When a tech has an existing appointment — a personal event, a job booked elsewhere, or a company meeting — that time is automatically blocked in Cartoply. Customers never see a time slot your tech can't actually take.
New bookings created through Cartoply flow back into Google Calendar instantly, with full job details in the event description. Your techs see their daily schedule in whatever calendar app they already use — no extra app to check.
Outlook integration
Cartoply integrates with Microsoft Outlook so your office staff and field technicians stay on the same page. When a tech blocks time in Outlook for training, a company meeting, or personal time, that block is reflected immediately in their Cartoply availability. No administrator needs to manually update schedules.
Every booking created in Cartoply creates a calendar event in Outlook with the customer's name, address, and appointment details. Works with Microsoft 365 accounts — the same Outlook your team already uses.
Automated reminders
Reduce no-shows with automated reminders sent to customers before every appointment. The moment a booking is confirmed, Cartoply sends an instant confirmation email to the customer with the appointment time, technician name, and job details. No-shows drop significantly when customers receive a timely heads-up.
Reminder emails go out automatically before the service date — so you stop spending time manually calling customers to confirm. Your techs also receive a notification so they always know what's on their schedule that day.
Round robin scheduling
When multiple technicians cover the same territory, Cartoply distributes bookings evenly across the team with round robin scheduling. Each new booking goes to the next available tech in rotation — so no single tech gets overloaded while others have open slots.
You can configure round robin per territory or per job type. Combine it with territory routing to handle both geographic assignment and team load balancing at the same time.
Booking link for your whole team
One booking link handles scheduling for your entire company. Share it on your website, Google Business Profile, Facebook page, or in email campaigns — wherever customers might find you. When someone clicks it and enters their address, Cartoply automatically identifies their service territory and shows them the right technician's availability.
You can also create booking links for individual job types — estimates, tune-ups, emergency calls — each with their own duration, pricing, and availability rules. No separate pages needed per tech.
Branded link previews
Every Cartoply booking link unfurls into a rich social card when shared on X, LinkedIn, Facebook, or in iMessage — your photo or company logo, your name, and the appointment type with its duration, on Cartoply-designed artwork. No setup required: personal pages use your profile photo, and org pages use the logo uploaded in your org settings.
Free-plan booking pages show a small "Powered by Cartoply" badge. Upgrade to a paid plan and it's removed automatically — no setting to hunt for. Your booking page stays focused on your business.
Embed booking page on your website
Embed the Cartoply booking experience directly into your company website with a single line of code. Customers stay on your site while Cartoply handles availability checking, territory matching, and booking confirmation in the background.
The embedded widget is fully responsive and works on any website platform — WordPress, Squarespace, Wix, or custom-built sites. No developer required. Copy the embed code from your dashboard and paste it into any page. Your ad attribution survives the embed, too — booking conversions fire automatically in your own Google Analytics, Tag Manager, and Meta Pixel, so the campaigns that drive appointments get the credit.
Dispatch & route optimization
Dispatch is an optional add-on for field-service teams that runs on top of core Cartoply scheduling. Set up private "service" event types, keep a light CRM of service customers and their geocoded sites, and build recurring service plans — weekly, every few weeks, or monthly — alongside one-time jobs. Buy a tech seat for each field technician, assign existing members or invite new ones, and give every tech their own home base and service territory.
Cartoply plans each tech's day using real road drive times, then hands you a proposal to review on a road-following map before you commit it to their calendars — nothing dispatches without your sign-off. In the field, techs work a "My Jobs" list and mark each stop through a two-step Confirm then Complete flow, so you always have an audit trail of who finished what and when.
Territory-based routing
Draw service territories for each technician — a custom shape you draw on the map, a radius, ZIP codes, counties, or cities. When a customer enters their address at booking, Cartoply matches it to the right territory automatically — no dispatcher needed, no manual re-routing after the fact.
Territories are fully customizable and can overlap when multiple techs share an area. Update a tech's territory at any time and the change takes effect immediately on the booking page.
